Privacy Policy

Last updated: December 2025

1. Who we are

This Privacy Policy explains how MetricFlowHub ("we", "us", "our") collects, uses and protects personal data in connection with our product and marketing analytics and Business Intelligence (BI) services, including our website and contact forms.

2. Data we collect

We may collect the following categories of data:

  • Contact data: name, business email address, phone number, company name, job title.
  • Communication data: information you provide when you contact us (for example via forms or email).
  • Usage data: technical data about how you use our website (IP address, browser type, pages visited, time and date of visit, referrer URL).
  • Client project data: if you become a client, we may process data from your systems (for example analytics tools, CRM, marketing platforms) as a processor on your behalf.

3. How we use your data

We use personal data for the following purposes:

  • To respond to enquiries and communicate with you about our services.
  • To prepare and perform contracts for analytics and BI projects.
  • To operate, maintain and improve our website and services.
  • To send you information about updates, events or content related to analytics and BI (only where permitted by law and/or with your consent).
  • To comply with legal obligations and to exercise or defend legal claims.

4. Legal bases for processing

We process personal data based on the following legal grounds (where applicable under the GDPR):

  • Contract performance – where processing is necessary to enter into or perform a contract with you or your company.
  • Legitimate interests – for example to respond to enquiries, improve our services, prevent misuse and secure our systems.
  • Consent – for certain marketing communications or optional cookies, where required.
  • Legal obligations – where we must process data to comply with law.

5. When we act as processor

For client projects we often act as a data processor and process data on behalf of our clients (the data controllers). In these cases, the processing is governed by a separate data processing agreement (DPA) with the client and this policy applies only in addition to that agreement.

6. Sharing of personal data

We do not sell or rent your personal data. We may share data with:

  • Service providers: such as hosting providers, analytics and communication tools, who process data on our behalf.
  • Professional advisers: such as lawyers, accountants or auditors, where necessary.
  • Authorities: where required by law or to protect our rights, property or safety.
  • Clients: when we act as processor, we may share project‑related insights and reports with the relevant client.

7. International transfers

Personal data may be transferred to and processed in countries outside the European Economic Area (EEA). In such cases we ensure that appropriate safeguards are in place, for example by using standard contractual clauses approved by the European Commission or equivalent mechanisms.

8. Data retention

We keep personal data only for as long as necessary for the purposes described in this policy or as required by law. In particular:

  • Contact and communication data are stored for as long as we have an active relationship with you and for a reasonable period afterwards.
  • Client project data are stored for the duration of the project and any agreed retention period in the contract or DPA.
  • Legal and accounting records are stored for the retention periods required by applicable law.

11. Data security

We implement appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
